Due to the large number of volunteers each year, TEXSOM is not able to provide air travel, accommodations or local transportation to and from the conference, but we do negotiate with hotels for discounted rates that are announced when we open registration.

Breakfasts, lunches, and dinners are free to all volunteers on the days of each confirmed schedule. We do ask that you confirm attendance for each meal to help us budget and maintain proper counts. Meals cost TEXSOM approximately $100 per person, so accurate counts are important. If you choose a meal, the courtesy of your participation is expected. If you do not select a meal or choose "not attending" and your plans change, we can easily and happily add you to the list.

Accommodations and hotel room blocks will be announced upon opening of TEXSOM conference registration.

Merendino Foundation will announce their annual Outstanding Volunteer Awards during dinner, and at the conclusion we will move to the ballroom to begin the great pack for load out. We'll turn up the music and secure the TEXSOM gear. Last year, we were out the door by 10:30PM.

Thank you for your interest in attending the annual TEXSOM conference. By confirming your attendance to the TEXSOM conference, you are agreeing to all of the following terms and conditions. In addition to the following, please be sure to read any and all materials provided by TEXSOM so that we can ensure a quality experience for you as well as our volunteers, sponsors, and other participants.

Age Requirements
You must be 21 years of age or older as of the date of the TEXSOM conference to attend. By confirming attendance to the TEXSOM conference, you are certifying that you will be 21 years of age or older by arrival at the conference. If you will not be 21 years of age or older by that date, you will be barred admission to the conference, not permitted to participate, and no refund will be issued.

Please have a valid ID ready with a copy of your registration confirmation at time of entry. Failure to present a valid ID at any TEXSOM event will result in you being barred from entry, and no refund will be issued.

General Refund Policy
Tickets purchased for the annual TEXSOM conference or any other related activity are non-refundable for the event. Cancellation requests must be emailed to info@texsom.com to be processed.

Expectation of Professionalism
TEXSOM is expected to be vigilant in enforcing all relevant laws relating to the sales, service, marketing, and promotion of alcohol. If you are visibly intoxicated at any official conference event, we may ask you to leave the event. Conduct that is serious, dangerous, or habitual may result in revocation of all conference privileges. If you are ejected from any event or the conference, no refund will be issued.

Alcohol Policy
TEXSOM works in conjunction with Irving Convention Center to abide by the Texas Alcoholic Beverage Code and other state laws. While these regulations allow outside alcoholic beverages to be present in guest hotel rooms, they expressly prohibit outside alcoholic beverages from being brought into public areas other than those designated as official TEXSOM conference meeting spaces. TEXSOM suggests that all personal items be transported from vehicles to guest hotel rooms in luggage or other generic packaging.

UNLESS EXPRESSLY PERMITTED BY TEXSOM, NO OUTSIDE ALCOHOL WILL BE ALLOWED IN THE DESIGNATED TEXSOM CONFERENCE AREAS. ANY UNAUTHORIZED ALCOHOL PRODUCTS BROUGHT INTO THE CONFERENCE WILL BE CONFISCATED.

By confirming attendance to the TEXSOM conference, you agree to comply with all applicable laws, regulations, TEXSOM rules, and venue rules. If you are ejected from any TEXSOM event or your conference privileges are revoked for failure to abide by any of these terms and conditions, TEXSOM will not provide a refund and will not be responsible for any financial hardship incurred.

Applicability

Our continued success as an international growth and community building event for hospitality and beverage professionals from all tiers of the industry relies on our safe, inclusive, and hospitable environment. To continue fostering this environment, TEXSOM established its Code of Conduct and Ethics (the “Code”) for all TEXSOM event attendees, volunteers, speakers, competition judges, and other stakeholders (collectively, “Participants”). The standards of conduct set forth in the Code apply to all Participants at any TEXSOM event.

TEXSOM strongly encourages good faith reporting of any concerns of potential violations of The Code or other misconduct. Participants may report concerns directly to TEXSOM staff. Alternatively, reports, including those made anonymously, are accepted through TEXSOM’s online ethics reporting site at ethicssuite.com/texsom. This service is available 24/7/365 and administered by Ethics Suite, an independent third-party hotline provider.

Compliance with Laws, Rules, and Regulations
Our Participants obey the letter and the spirit of the law. This is part of the foundation on which TEXSOM’s ethical standards are built and is critical to our reputation and continued success. If a local law requires a higher standard than set forth in this Code, then Participants should follow the higher standard.

Harassment, Bullying, and Intimidation
TEXSOM considers diversity in its events as a tremendous asset and provides equal opportunity to all Participants. As such, TEXSOM is passionately committed to hosting events that offer an environment free from:
Disparate treatment, harassment, or discrimination based on gender, color, race, age, physical or mental disability, national origin, ancestry, marital status, veteran status, pregnancy, citizenship status, sexual orientation, genetic information, gender identity or gender expression, religion, creed, or any other characteristic protected by applicable law
Unwelcome sexual advances or sharing of sexual images
Unlawful verbal, physical or visual harassment or bullying
Invasion of privacy including harassing, offensive, or unwanted photography, video recording or social media posts
Deliberate intimidation, stalking or threatening behavior or demands for sexual favors
Inappropriate requests, coercive behavior, or demands for political favors, financial advantage or any other unethical business practices
Conference and event staff are available during events to assist with contacting venue security or local law enforcement, if needed.

Retaliation
TEXSOM does not tolerate any form of retaliation against a Participant who reports a potential violation of the law or this Code or who supplies information in connection with a report.
